Why Excel payroll eventually breaks
Spreadsheet payroll works fine at a handful of employees. It usually starts breaking down around the point where SSF, TDS, leave deductions, and overtime all need to be calculated correctly for every employee, every month, without a single formula error — because at that point, one wrong cell reference silently produces a wrong payslip, and nobody notices until an employee complains or an audit finds it.
Step 1: Migrate employee and salary structure data first
Before touching a single payroll run, get every employee's basic salary, allowances, and SSF enrollment status correctly entered into the new system. This is the step most migrations rush, and it's the one that causes every downstream number to be wrong if it's sloppy.
Step 2: Run one cycle in parallel
Process one full payroll cycle in the new software while still keeping your Excel process as the source of truth. Compare every employee's net pay, SSF, and TDS line by line between the two. Differences at this stage are cheap to catch — differences after go-live are not.
Step 3: Reconcile attendance data separately
If you're also introducing biometric or mobile attendance for the first time, treat that as its own short pilot — a week or two with a small group — before tying it directly into a live payroll run. Attendance data feeding into payroll is where migrations most often surface unexpected edge cases, like overtime rules that were being handled informally before.
Step 4: Go live, keep the old spreadsheet as a backup for one cycle
Once the parallel run matches, switch over — but keep the old spreadsheet accessible for at least one more cycle, purely as a reference if a question comes up. After that, it's safe to retire.
